We have an outstanding opportunity for an Executive Assistant to join our dynamic firm. The Executive Assistant (EA) would perform administrative duties for the Partner/Director group. At Newburg CPA, the Executive Assistant position is a career, not a job. The ideal candidate would be a self-starter that takes initiative and works great in a team environment.
Responsibilities include, but are not limited to:
- Administrative duties including calendar and phone management as well as proofing copy
- Support for Partner/Director e-mail responses and client follow-up
- Preparation of correspondence/spreadsheets for clients; monitoring project deadlines and providing summaries to expedite client projects material
- Assisting with the planning of marketing activities, firm CRM program, client mailings, firm Newsletters, and other client communications
- Working knowledge of CRM software (InSightly), which includes updating, maintaining accuracy of information, and yearly review with other departments to ensure database is current
- Assisting with presentations and/or conference logistics
- Proactively assisting Partner/Director group with Business Development matters to ensure prospects/projects are on track and meet due dates
- Special Projects as assigned
- Being a liaison for Partner/Directors’ office with employees and clients
- Providing back-up to administrative team on an as needed basis
Qualifications:
- Bachelor’s (Preferred)
- Microsoft Office: 5 years
- Administrative Experience: 5 years
- US work authorization
Skills/Requirements:
- Quickly absorb training and apply it to tasks presented
- Ability to ask questions when uncertainties arise
- Strong verbal and written communication skills with an attention to detail
- Able to deal with tight deadlines, multiple priorities, and stressful situations as part of working for a CPA Firm
- Self-motivated
- Willingness to contribute new ideas and suggestions
- Proficient in Microsoft Office Excel, Word, and Outlook
- Minimum five years’ executive assistant experience
- Bachelor’s Degree
- Prior professional services experience a plus
- Hours are:
- May – Labor Day, reduced summer work hours
- Sept – Jan: Full time (40 hours minimum)
- Feb – Apr 15th: Full time, Extra hours may be required
